Tennis Booking Rules
- Members may book 8 days prior from 7 am. In other words, when booking to play 8 days in advance the new booking sheet only becomes available from 7 am -- all other playing times within 8 days can be booked 24/7.
- Corporate Resident Members may book courts up to 5 days prior.
- Peak Hours operate as follow:
- Monday – Friday (4.45 – end of play)
- Saturday – Sunday and Bank Holidays
- During peak hours members can play 1 booking slot
- During peak hours members may play a 2nd slot if courts are available on the day.
- During peak hours members can not play one booking slot and be put down as an opponent on the following booking slot, unless the booking is made on the day.
- Members can book more than 1 consecutive slot during off peak hours
- The only exception to the above is if you are playing a club tournament match.
- One cannot book more than 1 court at the same time unless authorised by the Board or Club staff.
- All booking slots are either 60min or 75min in duration depending on which court is booked.
- Members must enter the other players' name(s) on their booking(s) at the time of booking. The opponents name may be changed up till the time of check-in.
- There are no booking fees to be paid, however, please note the following "no-show" and "late cancellation" charges may be applied to members' booking system accounts.
- Under 14 Junior members cannot book courts and if playing as an opponent must be accompanied by an adult at all times.
- Guest Check in Policy
- All members are required to declare their guests on the booking system by selecting “Peak or Off-Peak Guest” as their playing opponent.
- You must Buy Credit to top-up your MYCOURTS account to cover the guest fee cost.
- Members can bring up to three guests per booking slot and each guest is charged separately.
- You must declare the number of guests by adding each one as an individual playing opponent.
- The same guest may visit the Club up to 6 times per membership year by which time they will be asked to join the Club or the waiting list.
- All guests must be signed in the guest book in the Clubhouse.
- If a member has not declared a guest, or guests, on the booking (be that peak or off peak), and a guest is found to be playing, a retroactive charge of £50 PER Guest will be charged to the member’s account.
- If 3 retroactive guest fees have been charged to a member (in total, in a year), the member will be barred from booking and playing (as an opponent, guest, or in a competitive tournament representing the Club) for 30 days.
- If a member is found on court playing during this time, their continued membership of the Club will be discussed by the Board of Directors.
- Check-In/No-Show Policy
- All members are required to check-in on the touch screen "kiosk" system to confirm court usage.
- The check-in must be done within 2 hours prior to playing (or immediately after playing).
- You will need to know your system PIN to check-in on the touch screen "kiosk" system at the main Reception desk. You can look-up your PIN when logged into the Booking System website or use the Forgotten Password process.
- Failure to check-in will log the booking as a "no-show" against the member who booked the court.
- The system will send a no-show email notification on the day following the no-show.
- The system automatically charges £10 for a tennis and/or squash no-show to the member's booking system account.
- Late-Cancellation Policy
- When unable to use a reserved court, members should cancel as soon as possible so that other members may use the court.
- There is no late-cancellation charge when the booking is cancelled more than 24 hours prior to start time.
- When a booking is cancelled within 24 hours prior to start time, the system automatically charges £6 for late-cancellations, however, this charge is automatically refunded if the same court and start time is re-booked.
- Credits will be issued if you are prevented from playing due to rain or standing water on the court at the time of the booking only. In this case you will still need to email the Club within 2 days of your booking to claim your credit.
- Members with outstanding Late-Cancellation, No-Show and Guest Fees must top-up their booking system accounts with an online credit/debit card transaction (£4 minimum) on the MYCOURTS system prior to booking more courts.
- Members are asked to contact the Club as soon as possible prior to their booking for any cancellation, please contact reception@parsonsgreenclub.com.
- Pleading ignorance of these rules will never be an excuse for a breach of any of the rules.
